bestpilotjobs.com is operated as a sole trader based in the Netherlands. We are the data controller responsible for personal data collected through this website.

2. What personal data we collect and why
We collect only the data necessary to operate the platform. Below is a complete description of each data type, its purpose, and the legal basis under GDPR (Regulation (EU) 2016/679).
Pilot job alert subscribers
Data: email address, preferred role (Captain / First Officer / Instructor), preferred regions, preferred aircraft types.
Purpose: to send email notifications of newly published job listings and roadshow announcements that match your preferences.
Legal basis: consent (GDPR Art. 6(1)(a)). You provide this data voluntarily when subscribing. You may withdraw consent at any time by unsubscribing.
Employers — job listing submissions
Data: company name, contact email address, company website, apply URL, and all job listing content submitted via the post-a-job form. For the Free plan, we additionally record the email domain to enforce the one-listing-per-domain-per-month limit.
Purpose: to process, publish, and administer job listings; to send payment instructions and confirmation emails; to contact you about your listing if required.
Legal basis: performance of a contract or pre-contractual steps (GDPR Art. 6(1)(b)); and legitimate interests in preventing abuse of the Free plan (GDPR Art. 6(1)(f)).
Employers — roadshow submissions
Data: airline name, contact email address, airline website, registration URL, and all roadshow details submitted via the post-a-roadshow form.
Purpose: to process, publish, and administer roadshow announcements; to send payment instructions and confirmation emails.
Legal basis: performance of a contract or pre-contractual steps (GDPR Art. 6(1)(b)).
Contact form submissions
Data: name, email address, and message content submitted via the /contact form.
Purpose: to respond to your enquiry.
Legal basis: legitimate interests (GDPR Art. 6(1)(f)) — responding to unsolicited messages from users who choose to contact us.
3. Data we do not collect
We do not collect or store:
— Payment card numbers or bank account details (payments are made directly via SEPA bank transfer or PayPal — we only receive confirmation that payment was made)
— Pilot CVs, applications, or application data (applications go directly to employers)
— Browsing behaviour, click paths, or session data
— IP addresses beyond what Cloudflare logs as part of serving requests (see §7)
— Any special category data as defined in GDPR Art. 9
No account registration is required to browse or apply for jobs on this platform.
4. Cookies and tracking
bestpilotjobs.com does not set any first-party cookies. We do not use tracking cookies, advertising pixels, or behavioural analytics. We do not use Google Analytics or any other client-side analytics service.
The platform loads a flag icon stylesheet from jsDelivr (a public CDN). This is a static asset request and does not involve the transmission of personal data beyond what is standard in any HTTP request (IP address, browser type). No tracking is performed by this CDN request.
Cloudflare, as our hosting and DNS provider, may log request metadata (including IP addresses) as part of normal network operations. This is governed by Cloudflare's own privacy policy.
5. Job alert emails
When you subscribe to job alerts, we store your email address, role preference, region preferences, and aircraft type preferences. We use this data solely to send you email notifications of newly published matching job listings and roadshow announcements.
Every alert email contains a one-click unsubscribe link. Clicking it immediately and permanently deletes your email address and all associated preferences from our database. No further emails will be sent.
We do not send marketing emails, newsletters, or any communication unrelated to job alerts you have subscribed to. We do not share subscriber email addresses with employers or any third party.
6. Payment processing
Paid job listings and roadshow announcements are invoiced by email after submission. Payment is made by bank transfer (SEPA) or PayPal. We do not collect, process, or store payment card details at any point. When PayPal is used, the transaction is governed by PayPal's privacy policy and terms of service.
7. Third-party services and data processors
We use the following third-party services to operate the platform. Each processes data on our behalf as a data processor, or independently as a data controller in respect of their own services.
Cloudflare, Inc. (United States) — hosting infrastructure, DNS, DDoS protection, edge network, and database (Cloudflare Workers and D1 SQLite). Job listing data and alert subscriber data is stored in Cloudflare D1. Cloudflare is certified under the EU-U.S. Data Privacy Framework and provides standard contractual clauses for data transfers. Resend, Inc. (United States) — transactional email delivery. Email addresses of job alert subscribers and employer contact addresses are transmitted to Resend for the purpose of sending emails. Resend operates infrastructure in the United States. Transfers are subject to standard contractual clauses. Privacy policy: resend.com/legal/privacy-policy
Hostinger International Ltd. (Lithuania / European Economic Area) — receiving mailbox for crew@bestpilotjobs.com. Inbound emails to this address are stored on Hostinger mail servers within the EEA. Privacy policy: hostinger.com/privacy-policy
jsDelivr / Prospect One (European Union) — public CDN used to deliver a flag icon stylesheet (static asset). No personal data is intentionally transmitted; standard HTTP request metadata only. Privacy policy: jsdelivr.com/privacy-policy-jsdelivr-net
PayPal Holdings, Inc. (United States) — optional payment method. When you choose to pay via PayPal, your transaction data is processed by PayPal under their own privacy policy and terms of service. Privacy policy: paypal.com/privacy
We do not use any advertising networks, data brokers, social media pixels, or marketing platforms.
8. International data transfers
Some of our data processors — specifically Cloudflare and Resend — are based in or operate infrastructure in the United States. Transfers of personal data to these processors are governed by standard contractual clauses (SCCs) approved by the European Commission under GDPR Art. 46(2)(c), and/or the EU-U.S. Data Privacy Framework where applicable. We do not transfer personal data to any country that does not have an adequate level of data protection without appropriate safeguards in place.
9. Data retention
We retain personal data only for as long as necessary for the purpose for which it was collected:
— Job alert subscriptions: retained until you unsubscribe, at which point all data is deleted immediately and permanently
— Job listing submissions (employer data): retained for the duration of the active listing and for up to 90 days after expiry or removal, for administrative and dispute-resolution purposes, then deleted
— Roadshow submission data: retained for the duration of the active announcement and up to 90 days after expiry, then deleted
— Contact form submissions: retained for up to 12 months from the date of submission, then deleted
— Payment references: retained for up to 7 years to comply with Dutch financial record-keeping obligations
10. Your rights under GDPR
As a data subject under the GDPR, you have the following rights in respect of your personal data that we hold:
— Right of access (Art. 15): you may request a copy of the personal data we hold about you
— Right to rectification (Art. 16): you may request that inaccurate or incomplete data be corrected
— Right to erasure (Art. 17): you may request deletion of your personal data where it is no longer necessary for the purpose it was collected, or where you withdraw consent
— Right to restriction of processing (Art. 18): you may request that we restrict processing of your data in certain circumstances
— Right to data portability (Art. 20): where processing is based on consent or contract and carried out by automated means, you may request your data in a structured, commonly used, machine-readable format
— Right to object (Art. 21): you may object to processing based on legitimate interests at any time
— Right to withdraw consent: where processing is based on consent (e.g. job alert subscriptions), you may withdraw consent at any time without affecting the lawfulness of prior processing
To exercise any of these rights, contact us at crew@bestpilotjobs.com. We will respond within one calendar month as required by GDPR Art. 12(3). We will not charge a fee for reasonable requests.

11. Data security
We implement appropriate technical and organisational measures to protect personal data against unauthorised access, loss, or disclosure. All data is transmitted over encrypted HTTPS connections. Database access is restricted to authenticated application requests only. We do not store sensitive payment data. In the event of a personal data breach that is likely to result in a risk to your rights and freedoms, we will notify the Autoriteit Persoonsgegevens within 72 hours as required by GDPR Art. 33, and will notify affected individuals where required under Art. 34.
12. Children
This platform is intended for use by commercial aviation professionals and employers. We do not knowingly collect personal data from anyone under the age of 16. If you believe we have inadvertently collected data from a minor, please contact us at crew@bestpilotjobs.com and we will delete it promptly.
13. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices, the services we use, or applicable law. The date at the top of this page reflects the most recent revision. Material changes will be described on this page. We will not retroactively reduce your rights under this policy without your explicit consent.
